You will work in conjunction with the Site Manager and other members of the Site Management team to maintain accurate and updated administrative information.

Roles and Responsibilities

Reporting to the Site Manager, you will be responsible for:

  • Input of all hours onto TMS (and client required systems). Reconciling hours with timesheets
  • Input and maintaining of annual leave allowance
  • Answering incoming telephone calls
  • Address wages enquiries for all staff
  • Maintaining, recording, and reporting of all elements of employee's status
  • Note taking during Investigations and Disciplinaries
  • To ensure Return to Work and Self Certifications are completed and sent to HR Dep
  • To ensure new starters and leavers information is sent to HR Dep
  • Using company purchasing system (Sage X3), create purchase orders where required, for items such as stationery etc.
  • Take meeting minutes
  • Working with the site management team and SHEQ officer to support the collation of safety statistics

Qualifications, Knowledge & Skills

To be considered for this position, you will ideally have:

  • Proficient and experienced in administrative skills required to deliver the above.
  • Fully conversant with all requirements of IT within administration (Micro soft Word, Excel etc.)
  • Knowledge and Experience in a similar Role.
  • Ability to learn new IT systems as required (e.g. Sage X3, GANE time, TMS)
  • Flexible approach to work and good time keeping
  • A strong team player
  • Ability to work independently and on own initiative
  • Good communication skills
  • A good fit with the Hargreaves Industrial Services culture
  • Ability to work under pressure from time to time.
  • Good problem solver
